PRE-CONSTRUCTION ADMINISTRATOR

Job Description

RAD Marketing is looking for a hard-working customer service-oriented representative for various pre-construction development sales offices in the GTA. This position is best suited for a detail-oriented individual who can manage and thrive in a dynamic, fast-paced work environment. The candidate will be responsible for assisting the on-site Administrator and reporting to the Director of Administration and Operations.

Area of Responsibility (Duties and tasks will include, but may not necessarily be limited to, the following):

  • Greet and welcome guests when first walking in the sales office & escort guests to the appropriate contact

  • Managing the flow of visitors

  • Maintaining the appearance and organization of the sales office

  • Accepting and coordinating deliveries/mail

  • Managing incoming calls

  • Assisting other administrative staff with overflow of work including word processing, data entry and research as needed

  • Proficient in using Excel and Microsoft for data entry (Required)   

  • Create and update records and databases of client/agent information

  • Assist with organization of meetings/events, project launches etc.

  • Scheduling appointments for the sales team

  • Calling the agent & prospect database for the project

  • Experience with various sales management software for pre-construction such as Avesdo or BLACKLINE. (An asset)

  • Assisting with the write up of offer Agreements using sales management software

  • Assisting with the collection of deposit cheques from purchasers/agents

  • Photocopying/filing documentation for sales

  • Able to work in fast paced and high-stress environment

  • Daily summary emails sent to the appropriate contacts

  • Provide accurate information in-person and via phone/email

  • Perform proper execution of opening and closing procedures, office equipment, AV equipment, and inventory maintenance

  • Respond to office/projects queries and request

  • Carry out administrative duties such as filing, typing, copying, binding scanning etc.

  • Maintain office inventory supplies

  • Assist the sales team/site-administrator where necessary on performing the duties above and assist in sales if necessary.

  • Handle sensitive information in a confidential manner

  • Assist with taking accurate minutes of meetings

  • Assist with the ordering of office supplies

  • Photocopy and print out documents on behalf of other colleagues

  • Ensure operation of equipment by completing preventative requirements: calling for repairs

  • Calling of brokerages to follow up on recent email campaign, come to sales office/event

 

Job Type: Full-time

Renumeration: Hourly/Based on experience

 

Experience:

  • Pre-construction: 1 year (Preferred)

 

Education:

  • Post-Secondary Graduate
