ON-SITE ADMINISTRATION/SALES ASSISTANT

Job Description
RAD Marketing is seeking a results-driven individual to join our expert team! We’re looking to hire an Administrative and Sales Assistant to support on a variety of pre-construction development projects throughout the GTA.
This is an excellent opportunity for someone looking to break into the world of pre-construction sales and grow within the industry. The successful candidate will play a key role in supporting our Sales Team and will report directly to the Director of Administration and Operations.
Key Responsibilities:
Reception Duties:

Greet and assist clients, Realtors, and visitors in a professional manner.

Provide administrative support for pre-construction real estate projects

Assist the Sales Director with day-to-day operations and client communications
-
Act as a point of contact for customer inquiries, ensuring exceptional service

Answer phone calls and direct inquiries to the appropriate team members.

Daily summary coordination and reporting preparation and distribution to appropriate contacts.

Support internal teams with scheduling, reporting, and coordination of tasks
Administrative Support:
-
Assist the Sales Team with paperwork, client files, and data entry.

Manage appointment scheduling and maintain sales meeting calendars.
-
Handle incoming and outgoing correspondence, including emails and mail.

Organize and maintain office supplies and inventory.
-
Assist to take minutes for internal meetings.
-
Ensure all equipment and inventory meets company requirements ex: scheduling service call, etc.

Manage and prepare /maintain the master report, Pricing Summary, and weekly report and distribution to appropriate contacts.

Assisting other team member with overflow of work including word processing, data entry and research as needed.

Ensure the maintenance and upkeep of all purchaser files with duties including filling, typing, copying, scanning in both digital and sales systems.
Sales Support:

Stay-up-to date on competition and market trends
-
Can provide exceptional buyer experiences to existing and potential buyers

Prepare and distribute marketing materials, brochures, and promotional content.

Support sales representatives in processing client documents and contracts.

Maintain an organized database of prospective and current buyers.
-
Develop and maintain strong relationships with new and existing agents & clients.

Have great attention to detail and follow up skills via phone.

Follow up with clients regarding required paperwork or outstanding information such as Deposit, mortgage pre-approval, lawyer info, etc.

Able to provide a brief presentation of the project to clients.

Follow up calls with Brokerages on recent email campaigns, extend invitation to visit the sales office for an appointment or RSVP for event.

Identify and pursue new sales opportunities through cold-calling, networking, and lead follow-up.

Have thorough understanding of agreements of purchase and sale and sales process of pre-construction developments.

Must be self- Motivated and results driven.

Possess a sense of urgency, accountability and job ownership.

Strong work ethic with ability to work long hours during the launch phase of a project.
General Office Operations:

Coordinate office logistics and ensure efficient workflow.

Assist in event planning for sales launches or site visits.

Ensure compliance with company policies and procedures.
-
Maintain proper record-keeping of administrative and sales-related documents.
-
Available to work extended hours during sales event and weekends is a must.
Qualifications:
-
University degree or college diploma
-
Licensed Realtor, through RECO, in good standing
-
2+ years of real estate sales experience with preference to experience selling high-rise pre-construction condominiums.

Strong and proven track record of pre-construction high-rise sales working on a multitude of successful sales projects

Must be self- Motivated and results driven

Have excellent time management and organizational abilities

Strong communication and negotiation skills

Familiarity with CRM software and tools

Handle sensitive information with the highest degree of integrity and confidentiality

Conflict resolution skills

Strong communication skills (listening, verbal and written)

Must have strong relationships of platinum, VIP and other real estate agents focusing on pre-construction condominiums

Job Type: Full-time
Renumeration: Full-Time Contract -paid hourly, based on experience
Experience:

Pre-Construction Administration: 2 Year + (Preferred)

Licensed Realtor (Preferred)

Familiarity with real estate or pre-construction development (preferred)
