Job Description

As Receptionist, you will be responsible for assisting the Administrator on a key project in Downtown Toronto.


Duties and tasks will include, but may not necessarily be limited to, the following:

  • Greet and welcome guests when first walking in at the office; escort guests to the appropriate contact

  • Ability to understand and work efficiently with our sales management software Avesdo

  • Understanding the Agreement of Purchase and Sale / Tarion

  • Assisting with the writing up offer Agreements using sales management software such as Avesdo and BLACKLINE

  • Able to work in fast paced and high-stress environment

  • Assisting with the collection of deposit cheques from purchasers/agents

  • Documentation receipts

  • Create and update records and databases of client/agent information

  • Daily summary emails sent to the appropriate contacts

  • Data entry on spreadsheets/excel/Microsoft as per the expectations of the builder

  • Assist with organization of meetings/events, project launches etc.

  • Answer, screen and forward incoming phone calls

  • Provide accurate information in-person and via phone/email

  • Perform proper execution of opening and closing procedures, office equipment, AV equipment, and inventory maintenance

  • Respond to office/projects queries and request

  • Cover the reception desk at all times

  • Carry out administrative duties such as filing, typing, copying, binding scanning etc.

  • Maintain office inventory supplies

  • Assist the sales team/colleagues where necessary on performing the duties above and assist in sales if necessary.

  • Handle sensitive information in a confidential manner

  • Assist with taking accurate minutes of meetings

  • Assist with the ordering of office supplies

  • Photocopy and print out documents on behalf of other colleagues

  • Ensure operation of equipment by completing preventative requirements: calling for repairs

  • Calling of brokerages to follow up on recent email campaign, come to sales office/event
